ROLE
The Operations Administrator works closely with Cannon Financial Advisors and Cannon Operations members as a collaborative team to successfully onboard new clients and provides service for existing clients.
RESPONSIBILITIES
- Handle telephone calls and other requests/inquiries, prepare and/or originate materials and/or correspondence for members of the firm, and resolving issues promptly
- Review contra-firm statements to ensure asset transferability and address cost basis
- Complete appropriate paperwork needed to onboard and transfer new client accounts, including but not limited to compliance documents, applications, and transfer forms
- Organize signed paperwork from client and advisor, check to be sure all information and signatures are completed
- Audit new client signed packets upon receipt to ensure all transfer forms have recent contra-firm account statements
- Involvement in the development of financial plans
- Assist in investment model and allocation preparation of accounts
- Submit completed paperwork to appropriate companies
- Maintain a tracking system for new client workflows and paperwork submission
- Monitor and manage the Asset Transfer Log for incoming and moving money and positions
- Assist with individual client file organization
- Manage clients account online access including setting clients up with their user ID and PW to sites and trouble-shooting account login problems
- Assist with client RMD, IRA contribution, and Roth conversion needs and tracking
- Utilization and ongoing maintenance of client database
- Assist with on-going client and advisor needs to maintain client accounts and models
- Assist ICS cash management team with client cash requests
- Manage the Cannon Giving Fund process including new account set-up, contributions, and maintenance of accounts
- Adhere to compliance and audit requirements; provide information to compliance and audit as requested
QUALIFICATIONS AND EDUCATION REQUIREMENTS
- Two to five years of experience in a related position
- Bachelor’s Degree
REQUIRED JOB SKILLS AND ABILITIES:
- Ability to analyze and interpret account statements
- Good verbal, written, and interpersonal communication skills
- Understanding of systems and procedures related to investment management and financial planning
- Ability to analyze and interpret financial data and prepare financial reports, statements, and/or projections
- An ability to clearly and articulately communicate thoughts and points, including technical concepts, effectively to a varied audience
- Excellent analytical, organizational, project management and time management skills
- Ability to multi-task and prioritize work in an environment where priorities and deadlines can change rapidly
- Strong attention to detail and independent problem-solving skills
- Computer skills and proficiency in Microsoft Excel, Outlook, and Word
- Ability to readily learn and efficiently utilize industry-specific software and related procedures
- High level of integrity and self-motivation
- Strong ethics with a willingness to sign and abide by both a confidentiality agreement and a non- solicitation agreement
- Ability to work independently and as a member of a team and foster a cooperative work environment
- Ability to accomplish organizational goals by accepting ownership to fully completing responsibilities
- Ability to properly handle confidential information and a strong sense of discretion
DESIRED SKILLS AND ABILITIES:
- Experience in the Financial Services industry
ADDITIONAL NOTES
- Ability to sit for an extended period, hear, see, lift no less than 20 pounds
- Background check results that are acceptable to the employer
- Ability to travel infrequently to Cannon branch office locations, attend training events, conferences, and/or other locations
